I think the below mentioned webinars might be a good opportunity to officially connect with our FOPs. for example, the series of webinars could be kicked off with an official opening event to which the FOPs are invited and officisally introduced. They could further be invited to participate in the webinars or send their poarticipants. What do you think?

Hi Anja,
In my mind it would be a great idea, the issues I am finding with FOP's is lots of questions (and I dont have answers) so to be able to invite them to an event would be perfect because we could have a Q&A incorporated??

Fantastic, and I completely agree! I believeit'll make the FoPs feel respected, included, and prepared, which helps a lot with engagement. However, I'd like to build up on the ideas and suggest something if that's alright.

To strengthen our engagement with the FoPs and provide clarity around their role and the entire project, I’d like to suggest we build a structured, welcoming experience ahead of the upcoming webinars.
1. Official FoP Welcome and Orientation Webinar
  • We kick off the webinar series with a dedicated event that officially welcomes and introduces the FOPs to the wider group. This will provide a brief but clear overview of the project; what it's about, key milestones, and what FOP involvement looks like.
Includes a live Q&A session to ensure we’re addressing their biggest concerns.

2. Formal Invitation Letters
Ahead of the event, we send out formal invitation letters to all FOPs. Each letter would include:
  • A brief overview document of the project.
  • A link to a pre-submission form for questions they’d like addressed during the welcome event.
This helps clarify the project's purpose and allows us to better prepare for the Q&A segment.

3. Ongoing Participation Opportunities
After the welcome session, FOPs can be invited to participate in future webinars or nominate staff from their organisations to attend webinars aligned to their interests or roles.

Hi Damien, 

That is a great idea and will definitely help with framing both the project and the expectations of the FOP's. I think without points 1 & 2 FOP's will just lose interest due to confusion. I would STRONGLY suggest we put some effort into framing this for the FOP's. It will also help us in talking to FOP's as the project goes on.

Maybe we could look at a FAQ (frequently asked questions question) document for all of us.

I checked and have looked at the FOP outputs, in line with Damien's suggestions I am happy to put some time into putting this together. I know Ousmane said he would do it at the SC but I am happy to assist. I don't have time today but have some tomorrow and Friday. Thursday and Friday next week is also OK. If you mail me I can also assist. If anyone else wants to be part of this just shout.

Thanks, Matt. You're right that we should put in the effort to make this work. I'm down to help out as well. I'm unavailable this week but next week should work. Maybe we can set up a meeting with Prof. Ousmane to discuss next steps. I'll also try to share a little something via email before the meeting, maybe this weekend.
